Chair
  • Acts to build a spirit of community across the four schools.
  • Works closely with the Office of Advancement to ensure the activities of the Parents’ Guild are aligned closely to those of the College.
  • Participates with the Vice Chair and Past Chair in a discussion regarding fund allocation with the Head of College and Director of Advancement.
  • Calls, sets agendas and presides at all meetings of the Parents’ Guild.
  • Provides overall leadership and support to all activities of the Parents’ Guild through a broad committee of volunteer parents.
  • Is an advisory member of the Board of Trustees.
  • Is an ex‐officio member of all sub‐committees of the Parents’ Guild.
  • Leads the Parents’ Guild to assess progress against HSC’s Strategic Plan.
  • Coordinates the impact of the Parents’ Guild friend and fundraising work through goal setting and performance review.
  • Assists the Vice Chair and Past Chair as a leader within the PG to set goals and assess progress and performance.
  • Attends the annual calendar meeting with the Chair to coordinate events for the next year and to communicate space requirements to the School.
  • Mentors and supports the Vice Chair, School Representatives, and Coordinators.
  • The Chair takes the position of Past Chair in the following year, unless they are unavailable to serve or unless otherwise determined by the Head of College.

Vice Chair
  • Acts to build a spirit of community across the four schools.
  • Works closely with the Office of Advancement to ensure the activities of the Parents’ Guild are aligned closely to those of the College.
  • Participates with the Chair and Past Chair in a discussion regarding fund allocation with the Head of College and Director of Advancement.
  • Coordinate friend and fundraising work of the PG with the Chair, Past Chair and PG volunteers.
  • Co-Chairs an event and committee with the Past Chair on an annual or bi-annual fall event, i.e. Winterfest or Monster Mash.
  • Provides budgeting, organizational abilities, and year-end report to PG.
  • Assists the Chair and Past Chair as a leader within the PG to set goals and assess progress and performance.
  • Mentors the School Representatives and Coordinators by listening, sharing and coaching, welcomes new ideas and respects traditions.
  • Assists in the preparation of a year‐end report on PG activities.
  • Attends the annual calendar meeting with the Chair to coordinate events for the next year and to communicate space requirements to the School.
  • The Vice Chair takes the position of Chair in the following year, unless they are unavailable to serve or unless otherwise determined by the Head of College.
Secretary
  • Attend PG monthly meetings.
  • Record basic minutes of meetings ( using provided template).
  • Work with the Office of Advancement to add any necessary presentation links and to ensure accurate and timely sharing of the minutes.
  • Coordinate with PG Executive once minutes have been completed for approval.
  • Assist in the creation and editing of PG documents.
  • This position is a one-year term and can be held by the same candidate for two consecutive years. Candidates may be able to reapply if no other nominations are made.
  • Mentor and assist a new representative in this role at the end of your term.

New Parent Representative
  • Support HSC through the school year by assisting the integration of new families into the school community.
  • The candidate should be an active member of the PG, have knowledge of HSC’s rules, and family experience with at least two schools.
  • Liaise with both Advancement and Admissions Departments to ensure combined efforts are streamlined and complementary.
  • Act to ensure new families feel welcome, informed and part of the HSC community, including those who join during the academic year.
  • Actively participate in events such as the annual New Parent BBQ (spring), New Parent Dinner (fall), HSC Open Houses, and coordinate appropriate communications for events.
  • May be assigned a certain number of new families for which they will be a contact during their first year at the College.
  • Manage a team of PG volunteers to meet program goals.
  • Assist with two Student-to-Student Used Uniform Sales (late August/early September) during HSC Orientation Days.
  • Participate in all general meetings of the Parents’ Guild.
  • Report at monthly PG meetings and provide an update each month for upcoming events.
  • This position is a one-year term and can be held by the same candidate for two consecutive years.
  • Mentor and assist a new representative in this role at the end of your term.

Interguild Representative
  • Represent the HSC Parents’ Guild at Interguild events. (Interguild is an organization which brings together representatives of CIS Ontario Guild/Parent Associations. Membership is provided by HSC.
  • Attend Interguild events on behalf of HSC’s Parents’ Guild where possible and relevant.
  • Share Interguild information and ideas with the PG at monthly meetings.
  • Participate in all general meetings of the Parents’ Guild.
  • Report at monthly PG meetings and provide an update each month for upcoming events.
  • This position is a one-year term and can be held by the same candidate for two consecutive years. Candidates may be able to reapply if no other nominations are made.

Used Uniform Sales Representative
  • Collect, organize and manage gently used uniforms donated by HSC families.
  • Coordinate a team of PG volunteers to assist as needed for sales and maintenance of collection.
  • Communicate, advertise and organize sales during the year (HSC New Student Orientation Days prior to the academic year, and possible Spring sale).
  • Work closely with the Campus Store to maintain Used Uniform Sales area, and ensure inventory needs are met throughout the academic year. Used Campus Store inventory must be created in September and physically removed from the Campus Store in June.
  • Work with the Advancement Department to ensure accuracy of revenue and expenses reporting at monthly PG meetings.
  • Work closely with the Maintenance Department to collect and move uniforms, and to ready and clear sales area as necessary.
  • Participate in all general meetings of the Parents’ Guild.
  • Report at monthly PG meetings and provide an update each month for upcoming events.
  • This position is a one-year term and can be held by the same candidate for two consecutive years. Candidates may be able to reapply if no other nominations are made.
  • Mentor and assist a new representative in this role at the end of your term.
  • Actively work and coordinate Senior School volunteers and offer a program to gain volunteer hours.

Volunteer Coordinator
  • Works closely with event leads & events officer to help determine volunteer requirements for the event including roles and number of volunteers, and ensure that these roles are filled in a timely manner.
  • Works with staff members on initiatives where Parents’ Guild support is needed, and ensures that these roles are filled in a timely manner.
  • Attend events to ensure proper execution and allocation of volunteers.
  • The role supports PG Events, College wide events and parents in the classroom.
  • Oversees the HSC PG Event Volunteer Program as a portfolio in collaboration with the Events Officer.
  • Ongoing collaborating with the College Wide Representatives.
  • Participate in all general meetings of the Parents’ Guild.
  • Report at monthly PG meetings and provide an update each month for upcoming events.
  • This position is a one-year term and can be held by the same candidate for two consecutive years. Candidates may be able to reapply if no other nominations are made.
  • Mentor and assist a new representative in this role at the end of your term.

College Wide Representatives (4-6 positions)
  • This is an event based role. Responsibilities vary based on event placement in the calendar year.
  • Meet 2-3 times a year with school/college designates.
  • Assist the New Parent Representative in welcoming new parents into their respective school, meeting, building and deepening relationships between parents.
  • Collaborate with volunteer coordinator on recruiting PG members for in-school events.
  • Assist with PG Used Uniform Sales prior to academic year.
  • Participate in all general meetings of the Parents’ Guild.
  • Report at monthly PG meetings and provide an update each month for upcoming events.
  • This position is a one-year term and can only be held by the same candidate for four consecutive years. Candidates may be able to reapply if no other nominations are made.
  • Mentor and assist a new representative in this role at the end of your term.
  • Application Criteria: Applicants require a minimum of one year of recent/active participation with the Parents’ Guild.
